A manager wants a weekly summary of an artist’s project notes: decisions made, open questions, and who needs to do what next.
02 The setup
Give the assistant the project brief and meeting notes. Record the file names and access permissions. Start with reading and drafting; sending messages remains a separate decision.
03 The practice
Ask for a summary of one meeting. Check each action against the original notes. If an owner or date is missing, ask the assistant to mark it as missing rather than fill it in.
04 Instructions to keep
Read the project brief and meeting notes. List decisions, open questions, and next actions. For each action, include the owner and due date only if the notes name them. Cite the note you used. Flag missing details for me to review.
05 Run it again
Add the next set of meeting notes and reuse the instructions. Review the draft before sharing it with the artist or team. Keep a copy of the checked summary alongside the source notes.
06 If you want it automated
The next build could collect new notes and prepare the summary on a schedule. We would agree where it reads from, where the draft goes, and who approves it before anything is sent.
